Smart FrontDesk is a product of Agentix Vanguard Inc. ("Agentix Vanguard", "we", "us"). This describes what we hold, who else sees it, and for how long. It covers two different groups of people: you, the business owner, and the customers who message your business.
What we keep
For you: your name, email, and your business details — services, prices, hours, policies. For your customers: their phone number, the messages they exchange with your assistant, and the appointments they book. We keep conversations so your assistant remembers context and so you can see what was said on your behalf.
Who else sees your customers’ messages
This is the part worth reading carefully. A message from your customer reaches two third parties before an answer comes back. It arrives through WhatsApp, which is operated by Meta and governed by their terms. It is then sent to an AI provider, which generates the reply. We do not sell this data, and we do not use your customers’ conversations to train anyone’s models — but the message does leave our systems, and we cannot promise otherwise.
Business messaging and mobile information
For customers who message a business using Smart FrontDesk, phone numbers support that business's requested appointment communications. Frequency is tied to appointments, typically a confirmation, reminder or cancellation notice. Product contact-form SMS preferences are described separately below. Mobile numbers and SMS opt-in data or consent are never sold, rented or shared with third parties, affiliates or lead generators for marketing or promotional purposes. Our messaging providers process numbers only to deliver the requested service. Message and data rates may apply. Reply STOP to stop texts from the sender or HELP for help.
Contact requests and SMS choices
When you submit our product contact form, we store your name, email, mobile number, language and each SMS choice, together with the server timestamp, source page, disclosure wording and version. These records help us respond to your request and document your preferences. Providing a phone number is not consent to receive SMS. Marketing and transactional messages require separate choices. Mobile opt-in information and SMS consent are not sold or shared with third parties, affiliates or lead generators for their marketing or promotional purposes. Service providers may process this information only to deliver our services. Contact-request records are retained to respond to inquiries and document consent; you may request access, correction or deletion, subject to applicable recordkeeping obligations.
How long we keep it
Conversations and appointments are kept while your account is active. If you close your account we delete your business data within 30 days, except where we are required to keep billing records for longer. You can ask us to delete a specific customer’s data at any time.
Your customers’ rights
Your customers are messaging your business, not us. They can ask you for a copy of what is held about them, or ask you to delete it, and we give you the means to do both. Where the law gives them rights directly against us, we honour those too.
How it is protected
Every business’s data is isolated from every other business at the database level, not by application code that could forget. Connections are encrypted, and provider credentials are encrypted where they are stored. No system is perfect; if we discover a breach affecting your data we will tell you.
Asking us about your data
Write to us from the address on your account and tell us what you need — a copy, a correction, or a deletion. We answer within 30 days.
